Kelowna United Football Club is currently seeking a highly motivated and organized Soccer Club Administrator to join our team. The ideal candidate will have a passion for soccer, excellent communication and interpersonal skills, and experience in administrative tasks.

 

Responsibilities:

  • Handle all forms of correspondence and distribute as appropriate
  • Book fields, arrange schedules, and communicate to the public via all forms of communication
  • Attend all evaluation sessions
  • Attend all Board meetings and work amicably with Board members
  • Coordinate Manager and Coaches meetings for the beginning of the Season and put together Manager Binders
  • Arrange with Equipment Manager a pickup/dropoff schedule for equipment and jerseys; and ensure performance bonds are paid
  • Organize registration into formats as provided by COYSA Admin and meet submission deadlines
  • Ensure all KU and team staff have Criminal Record Checks completed every 3 years
  • Prepare ID cards for all players and team staff
  • Work with gear supplier to get online store set up for extra clothing items, backups, etc
  • Prepare registration system for all Camps and Academies - communicate to appropriate people
  • Provide field requirements to COYSA yearly for preseason training, academies, camps
  • Book fields for any exhibition games
  • Send any updates/news to web admin to keep website current
  • Work with Treasurer to ensure all payables, receivables, and deposits are made in a timely manner
  • Manage KU dome rentals including contracts, invoices and collection of payments; coordinate opening and closing of each venue
  • Understand, commit, and participate fully in managing service beyond our customer’s expectations and to KU’s standards
  • Provide active leadership and maintain an effective working relationship with all staff
  • Take an active role in creating an enjoyable working environment
  • Be flexible and willing to adapt to changing circumstances as new needs and priorities are identified
  • Other duties to be determined and identified by the Board and through future discussions with employee

Requirements:

  • Bachelor's degree in sports management or relevant field preferred
  • Strong communication and interpersonal skills
  • Excellent organizational skills and attention to detail
  • Ability to work independently and as part of a team
  • Knowledge of soccer regulations and procedures
  • Proficiency in Microsoft Office and other relevant software applications
  • Experience in administrative tasks and customer service
  • Flexibility to work evenings and weekends when required
